In short
A good B2B prospecting message is short, talks about the recipient’s situation before it talks about you, and ends with one easy question. These templates cover the first email, LinkedIn, follow-ups and buying signals. Variables in brackets are filled in prospect by prospect, and every email keeps a line that lets people opt out.
A template is not a text to send unchanged to a thousand people. It is a proven structure into which you put what you know about the prospect: their role, their company and, ideally, a recent fact that justifies writing now.
The templates on these pages follow our prospecting guides: a sequence that alternates email and LinkedIn without pestering, emails that respect GDPR and mailbox provider requirements, and messages that open on a buying signal when there is one. Variables are written in brackets: [First name], [Company], [signal]. Replace them all, and read a few filled-in messages before sending.
The templates
Cold email templates
Eight complete cold emails: first touch, CEO, CFO, HR director, sales director, referral, content offer, after an event.
LinkedIn prospecting messages
Connection requests with and without a note, first message after acceptance, after a profile view or a like, InMail and a last message.
Sales follow-up emails
Same-thread follow-ups, break-up email, follow-up after a meeting or a proposal, replies to common objections.
Buying-signal messages
One template per signal: new decision-maker, hiring, funding round, public contract won, growth, LinkedIn post.
Which template for which situation
| Situation | Template | Channel |
|---|---|---|
| First touch, nothing specific happening | Cold email by role | |
| Connect before writing | LinkedIn connection request | |
| No reply to the first email | Follow-up 1, 2 or 3 | |
| End of the sequence | Break-up email | |
| The prospect replies with an objection | Objection replies | Email or LinkedIn |
| A recent event: new role, funding, hiring | Buying-signal message | Email and LinkedIn |
Rules that apply to every template
- Short: 50 to 120 words for an email, one or two sentences for a LinkedIn note.
- Them before you: the first sentence is about the person or their company, not yours.
- One question: easy to answer, even with a “no”.
- Plain tone, like an email typed by hand to one person.
- No numbers you can’t source: no invented percentages or guaranteed results.
- An opt-out line in every email, and a short privacy notice in the first one (see the GDPR guide).
